Legible handwriting and signed documentation are essential because they establish accountability, traceability, and legibility that directly support safety and the audit process. When a technician signs off on maintenance, it clearly identifies who performed the action and when, which is crucial if follow-up questions or investigations arise. Clear, readable entries ensure findings, measurements, parts used, and corrective actions are understood without ambiguity, reducing the risk of misinterpretation that could lead to unsafe conditions or improper maintenance.

Signatures provide authorization and verification that work met required standards before the asset returns to service, linking the action to a responsible individual or authority. The resulting record creates a verifiable history of the asset, enabling maintenance teams to trace what was done, why it was done, and with which parts, which supports trend analysis, regulatory audits, and incident investigations.

Neatness or speed alone do not provide these safeguards. Documentation that looks tidy but lacks clear provenance or legibility cannot reliably support safety or audits, and reducing emphasis on documentation does not lessen the need for inspections.
